Duties and responsibilities
The Program Administrative Assistant will be responsible for providing administrative support in the day to day program implementation and management. He/She will provide comprehensive secretarial and administrative support to program staff, including drafting correspondence, translation of reports, taking of minutes, arranging government clearances, making travel arrangements and other logistical support. The Administrative Assistant will carry out his/her functions under the direct supervision of the Country Director, including, but not limited to:
• Assist the Field Financial Manager (FFM) with financial reports; communicate with HQ regarding financial and procurement procedures.
• Be responsible for day-to-day program correspondence, information sharing and filing ensuring that appropriate follow-up actions are taken. Assist in preparing evaluation reports, annual project reports, and update program files. Prepare minutes of project meetings. Prepare all documentation for contract issuance.
• Assist in preparation of local consultant and international experts missions to the region, render logistic support.
• Assist in collecting M&E data, prepare and update briefs, records and other documents on program implementation. Provide inputs for publication materials and collect information related to the program.
• Translate reports from English to French and vice versa.
• Liaise with program counterparts on day-to-day implementation of project activities.
• Perform other duties as determined by the Country Director.
Qualifications Requises
University degree in social sciences, public or business administration or other related area
Conditions particulières
At least 5 years of administrative assistance experience, of which preferably; experience in English speaking country.
Perfectly fluent in written and spoken English, French, and Creole.
Computer literacy (Microsoft Office, Internet) is essential; Familiarity with USG Financial Regulations and Rules is regarded as an asset.
