Introduction

The Haiti Strategic Health Information System Program (HIS) is a five-year, $11.5 million cooperative agreement funded by USAID to build the capacity of Haiti’s Ministère de la Santé Publique et de la Population (MSPP) to take ownership of a comprehensive health information system that enables the integration of health records across various digital and paper-based reporting platforms. The program will support the MSPP in drafting an effective eHealth Policy to address interoperability and set data standards; strengthening Haiti’s national health information system—the System d’Information Sanitaire Nationale Unique, or SISNU—by addressing information and technical gaps; and promoting data-driven decision making at national and departmental levels. In turn, the HIS team will help the MSPP analyze the data provided by the improved national health information system and then use this information to provide better quality care and treatment to the Haitian people.


Fonctions

The position is based in Petion-Ville and reports directly to the Finance and Administration Manager (FAM). The Event & Logistics Coordinator will provide administrative, operational and logistical support to ensure smooth execution and delivery of project sessions, events, and workshops. S/He with liaise with vendors, project team, Chief of Party (COP), Deputy COP (DCOP), and FAM office team to ensure that all operational elements of the program are running smoothly.

• Work with project staff to support the logistical arrangements for all trainings and other project events; coordinate with vendors, participants, trainers.
• Meet with project DCOP to understand schedules, staffing and program agendas and ensure these are well communicated to COP, Operations, and participants.
• Coordinate with vendors to ensure the timely delivery, payment and setup of meals, snacks and/or refreshments at the respective venues.
• Ensure all office equipment including but not limited to LCDs, speakers, computers, and tablets used for weekly trainings are safely returned and locked at HIS project’s storage room.
• Support with the registration of mentors and participants.
• Print and prepare training curriculum materials/documents for trainings.
• Work with and assist the project communications’ officer with printing and posting of communication materials at trainings and other project events.
• Assist throughout the event planning process, including but not limited to, creating event staffing timelines, event set-up and breakdown, and management of event inventory.
• Coordinate event logistics including bookings and budgeting for all events,
• Coordinate inventory, ordering, fulfillment and shipping of event giveaways, booth properties and print materials
• Support event management and planning of event and vendor set-up, load-ins, and load-outs.
• Ensure reliable and sufficient delivery and set up support for events and business needs.
• Oversee product and material movements for upcoming events with 100% accuracy throughout all phases of each process.
• Receive incoming purchase orders and confirm accuracy.
• Organize pick-up and delivery of all products and materials needed.
• Maintain perpetual inventory of material, equipment, supplies and other general stock items.
• Receive, unpack, stock and deliver products as required.
• Perform clerical and administrative tasks such as shelve labeling, reports, data entry.
• Identify opportunities for improvement and make constructive suggestions for change, with a goal of providing seamless quality service.


Qualifications Requises

• Bachelor’s degree in Business Administration or related field
• Expert at simultaneously managing multiple detailed projects
• Hyper-skilled at prioritizing and meeting deadlines amongst competing projects
• 5+ years of relevant experience and progressive responsibility in event management at the mid-level of an organization
• Accuracy in working with large amounts of data
• Ability to respond effectively to time sensitive demands & inquiries
• Proficiency using Microsoft office suite, and other relevant software
• Demonstrated strong problem-solving skills as well as exceptional customer relations (both internally & externally); provides sound business judgment and contractual oversight
• Excellent organizational skills with a willingness to take initiative and be proactive in the procurement process.
• Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously.
• Excellent communications skills and ability to relate to people at all levels of an organization and of different multi-cultural backgrounds.
• Extremely well organized and self-directed individual with sound technical skills, and analytical ability.
• Fluency in English and French is required.
• Travel required for major events and department assignments.
