Introduction

Ensure that the clerical and administrative needs for the Solid Waste Hotline Project are met efficiently and effectively. Liaise between the CRS Solid Waste team and CRS departments including Administration, Human Resources, Purchasing, Finance.


Fonctions

1. Provide administrative support to the Administrator and Solid Waste Hotline team.
2. Assist the Administrator of the Solid Waste Hotline to manage a payment system for waste collection services.
3. Maintain copies of administrative documents and file them properly.
4. Print out all relevant documents and file them as appropriate.
5. Interact effectively between the Solid Waste Hotline team and other CRS Departments and outside entities.
6. Prepare correspondence letters and memos and assign reference numbers. Distribute these documents to relevant parties.
7. File copies of all relevant outgoing and incoming correspondences by subject in the appropriate files.
8. Receive all incoming correspondences and documents and direct to the appropriate staff.
9. Take minutes during meetings and share out to all staff.
10. Identify the material supplies needs and prepare requisitions for approval; control supply inventory and initiate orders as necessary.
11. Receive newly acquired equipments, furnitures, supplies, and other assets and keep a property register of these materials.
12. Prepare invoices to claim receivables from the staff or other organizations.
13. Follow up the collection of outstanding advances.
14. Assist the finance and administration staff of implementing partners in complying with financial policies of CRS and timely submission of liquidation documents.
15. Perform other administrative duties as necessary or requested.


Qualifications réquises




• Diploma in secretarial science.


• Qualification and experience in accounting.


• Minimum of three years of work experience in a similar position.


• Strong computer use skills (Word and Excel programs).


• Strong organizational skills, attention to detail and ability to meet deadlines.


• Strong knowledge of written and spoken French and English.


• Strong interpersonal skills and previous experience working with the public.
