Introduction
The administrator will be responsible for the overall management of the administration of the IFRC Leogane Sub-Office including the property management, the human resources, and administrative supply to assure a smooth running of the operations.
Fonctions
Ensure the effective and efficient administration of IFRC sub-office in Leogane.
Maintain an accurate inventory of equipment in the office as well as delegates houses.
Lease and ensure the maintenance of delegates’ accommodation.
Liaise with Welcome Service on flight reservations and accommodation at the Base Camp.
Maintain an updated movement plan for all the delegates and staff on a monthly basis.
Maintenance of office equipment.
Maintain Personnel files of all employees.
Handling petty cash for office expenses.
Handling procurement for the office.
Keeping track of various contracts with vendors/suppliers and renew them from time to time.
Handling and dealing with utility bills for both office and delegates houses.
Line manage and train maintenance staff such as cooks and cleaners.
Maintain reports of all activities on a weekly basis as required.
Any other assignment as may become necessary

EDUCATION
Relevant University degree
EXPERIENCE
Experience of managing & supporting staff
Experience in Office/Administration
Experience of working for the Red Cross/Red Crescent preferred
Experience in liaising with people at all levels in an organisation and ability to work under pressure with tight time lines
Experience of working in multicultural environments
SKILLS
Strong skills in computers (Windows, spreadsheets, word-processing, excel)
Able and willing to work within established procedures and policies
Strong sense of responsibility and control
Strong communication and interpersonal skills
LANGUAGES
Proficient in French and English: written and spoken
