Introduction

Introduction & Context: The Catholic Sisters Haiti Collaborative for Community Empowerment (the Collaborative) was established in 2021 with the vision to strengthen interrelated programming conducted by member congregations and their partner organizations, and to build a network for shared learning, coalition building, and joint advocacy. The Collaborative comprises six religious congregations who have Sisters ministering in Haiti, including: Congregation of the Sisters of St. Felix of Cantalice (CSSF), Sisters of Holy Cross/Congregation Sainte Croix (CSC), Religious of Jesus and Mary (RJM), Sisters of Charity of Saint Elizabeth of New Jersey (SCNJ), School Sisters of Notre Dame (SSND), and Sisters of Mercy/Mercy Focus on Haiti (SMA/MFOH).

The goal of this project is to partner with Haitian communities in efforts to transform the conditions that impoverish people, with four specific objectives:

1. Improve access to and quality of education and healthcare opportunities in rural Haitian communities.
2. Improve the livelihoods and food security of families living in extreme property.
3. Equip and mobilize communities to ensure that children experience their full rights, including the right to a family and to live in security.
4. Build capacity, networking, and joint advocacy among member organizations of the Collaborative. A detailed logical framework is annexed to this application.


Fonctions

General Description of Role: The Finance-Administrative Assistant provides various financial reporting, planning coordination and administrative support to the Project Manager in support of the implementation of the Conrad N Hilton Foundation grant.

Primary Responsibilities

Financial Assistant Tasks
? Record all financial transactions accounting software/ update financial spreadsheets with daily transactions for Sisters of Holy Cross for the centralized project management budget
? Review and compile individual project / ministry financial reports according to grant requirements and those of fiscal agent as well as those requested by the Collaborative
? Work closely with the Collaborative to ensure proper financial management of all project/ministries and compliance with grant guidelines
? Conduct oversight of each collaborative member as they execute project/ministry budgets, including tracking expenditures against budget lines and ensuring funds are properly used to achieve project objectives
? Monitor, reviews and verifies accounting records and transactions for accuracy, timeliness and adequacy of supporting documentation
? Provide ongoing technical support and coaching as needed to individual project/ministries to support their financial reporting
? Track and reconcile bank statements each month
? Prepare and submit monthly payments to DGI, ONA, OFATMA and private health insurance
Administrative Support Tasks
? Ensure all project documents (finance, project, human resources etc.) are filed, well-organized and maintained
? Support the Project Manager with organizing meetings with Collaborative project partners, stakeholders and the Steering Committee
? Participate in all project meetings, taking minutes when requested
? Provide general finance and administrative support to the Sisters of Holy Cross staff as needed/requested

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.


Qualifications réquises

Qualifications/Profile
? Degree or diploma in finance, accounting, administration or similar field
? At least 3 years of experience in the sector, experience working with local organizations and/or NGOs a plus
? Understanding of general grant management financial reporting
? Good understanding of Haitian fiscal and labor codes, laws and procedures
? Mastery of relevant accounting software (e.g. Quickbooks)
? Strong capacity with Microsoft Word and G-Suite tools, such as Word, Excel, PowerPoint, google docs, google sheets
? Experience in preparing financial reports
? Fluency in Creole, English is a plus
? Strong verbal and written communication skills
? Ability to work independently as well as in a team environment
? Ability to work under pressure and in difficult situations
