Maintain technical records and files for the assigned component (s); maintain a calendar of the assigned Component’s activities; Help the Component Head anticipate deadlines. Make sure that Component reports are done on time and using the proper format; Obtain calendars of other Components and distribute internally; assist staff with TAMIS entries and follow up on all TAMIS entries to make sure that there are no delays; liase with the Procurement and Grants/Subcontracts offices to track progress of the assigned component’s procurements, grant and subcontracts; Liaise weekly with the Procurement office to know the distribution calendar. Make this information available within the assigned Component; Inform the M&E office of upcoming distributions to beneficiaries; Remind component heads of report deadlines; manage COP and DCOP calendars Send out lotus notes invitation for meetings and follow up to remind participants by telephone; Work with the logistic specialist to ensure that the Component’s logistical needs are met; facilitate access to work space during weekends when needed; take, prepare and distribute minutes from meetings; make sure TAMIS entries are up to date, check the status of TAMIS request; liaise with Procurement, Logistics and Accounting/Finances to follow up on component matters; gather information from the component for technical reports as requested by the Chief of Party or authorized individuals; assist with the preparation of reports and presentations; develop and maintain the Component’s office filing systems; perform general clerical duties for the component including photocopying, mailing, etc.; maintain a good knowledge and understanding of office rules and procedures as per the field office policy manual; help the Component staff track Component activities against the project work plan; maintain contact lists of partner organizations, resource providers, agencies, government, contacts and other stakeholders relevant to the Component;
