Introduction

The Deputy For Administration assist the General Administration Manager to ensure the implementation and maintenance of administrative and management control systems in compliance with CRS’ principles, policies, procedures and strategic framework, as well as USAID, other donors and Government of Haiti regulations.


Fonctions

1) Assist the General Administration Manager to compile information, through the different sections, to submit to the General Administration Manager for preparation of the annual ministerial report.

2) Prepare general contracts and agreement for the Administration Department and ensure that CRS is well protected.

3) Ensure that all contracts related to the Administration, leases, insurances and fiscal quitus of CRS are renewed on a timely basis.

4) Assist the General Administration Manager to identify problems pertaining to the Administration, propose solutions and ensure adequate follow-up.

5) On the request of the direct supervisor, assist the Central Office Manager to ensure liaison between GOH officials in order to obtain ''Permis de Séjour'', visa renewals, airport general access, etc.).

6) Work closely with the Central Office Manager and the Chief Engineer to ensure smooth administrative operations and efficiency in the delivery of services as well as effective stewardship of CRS’ fixed assets and compliance with CRS’, donors’ and GOH regulations.

7) Assist the General Administration Manager to provide necessary revisions to the policy when deemed warranted and after approval by the Country Representative;

8) Assist the General Administration Manager to liaise between Central Office and CRS sub-offices on all administrative issues and visit CRS sub-offices on a quarterly basis to address administrative issues.

9) Act as the key liaison in assisting the General Administration Manager in coordinating and implementing the Country Program Administration Strategies and Policies.
10) Assist the General Administration Manager to maintain a permanent property register of the organization.

11) In conjunction with the Senior Management Team, establish and coordinate mechanisms for employee participation in activities that improve overall staff morale and productivity.

12) Act as the Acting General Administration Manager in his absence.


Qualifications réquises

• Bachelor degree in Administration or related Masters filled preferred.
• Experience in staff supervision.
• Knowledge of Computer software (Word, Excel, Powerpoint…)
• Minimum at least 4 years experience in similar position
• Good approach related to customer services.
• Strong inter-personal communication skills.
• Self-guided, strong organizational, planning, and problems solving skills.
• Ability to work well under pressure.
