Introduction

This position will be responsible for providing administrative support in various areas of the development office in Haiti with a focus on coordinating alumni services. This will include coordinating and planning meetings, activities, and events, database management and admin follow up. The Development Assistant will lead the collection of content for multimedia purposes and data entry into Raiser’s Edge. Discipline, time management skills, attention to details and the ability to follow up on multiple tasks and projects at once are required


Fonctions

Summary of Responsibilities: Below are the major responsibilities in order of priority and tasks related to this position. Please note that this summary is not exhaustive.

A- Development

1- Provide administrative support to the development officer as needed.

2- Help maintain the development officer calendar, schedule meetings, managing reservations and coordination with other participants as needed.

3- Attend and follow up with meetings with donors

4- Follow up on various purchases and management of credit cards.

5- Gather content from students and alumni, files and documents as needed and requested by the development officer.

6- Prepare meeting materials and reports.

7- Follow up with internal staff on various requests to the development Officer.

8- Develop systems for overseeing the management of the Haiti Development Office, including HELP calendar, coordinating all meetings including: 1-1 staff meetings, interns’ meetings, and reporting of meetings.

9- Lead the Student ambassadors’ program and holiday cards.

B- Assisting in coordinating alumni services

a. Work closely with the alumni association committee to engage alumni in activities, events for HELP and among themselves.

b. Assure consistent communication with HELP Alumni and seek opportunities for engagement with HELP? (e.g. TFE coaching, orientation, recruitment, mentoring, alumni association commissions ect).
c. Coordinate annual graduation event and alumni meetings.

d. Maintain physical and electronic files for all alumni on Dropbox.

e. Work with KOREM Coordinator to support the alumni contribution process after graduation.

f. Maintain physical files for all donors in Haiti.

C- Reporting

a. Provide a monthly report to the Development Officer.


Qualifications réquises

Education: Bachelor’s degree

- Essential skills: Strong management and organization skills (great attention to details)

- Language(s): Fair English level and fluency in French are strongly preferred.

- Experience in management, administration a plus.

5. Strong engagement of alumni committee and graduates, they participate in various HELP activities and alumni committee undertake activities on a regular basis with participation of 30% of alumni.

6. Accuracy and timeliness of data entry (Bazla, Dropbox) and filing.

7. Timeliness of reporting.
