Introduction

The Church Partnership Program Assistant will assist the manager and senior adviser in the administrative management of local and international church partner relations and related Church grant activities. In particular he/she will assist the unit in managing requests for information and support and will keep track of CRS' response and follow-up using a database. He/she will maintain files of all unit correspondence and copies of grant agreements, and will file and keep track of partner reports. The Assistant will also be responsible for organizing meeting and travel logistics for the unit.


Fonctions

1. Provide support to manager and senior adviser in responding to requests for information and support from local and international Church partners. This will include answering phones and directing calls to the appropriate person, making phone calls on behalf of the manager and senior advisor, drafting and filing written correspondence, and taking minutes of face-to-face meetings.

2. With guidance of manager, senior adviser and other CRS Haiti staff, maintain the Church partner and grantee database and the mapping of project sites. Provide reports using information from this database to the manager and senior advisor.

3. Manage logistics and travel planning for field visits, meetings and events for both local and international Church partners and delegations. Compile and print briefing documents and meeting hand-outs, and organize audio-visual equipment, as needed.

4. Receive and support visitors. Prepare, organize and participate in meetings in CRS offices in Port-au Prince with visiting Church partners.

5. Together with the manager and senior adviser, ensure partners are familiar with CRS finance and audit principles and M&E Global Guidelines.

6. Under guidance of manager and adviser, assist partners in compiling written reports (narrative and financial) and ensure that these reports comply with CRS finance and audit principles and M&E Global Guidelines. Maintain file of all reports, and track of reports that are pending, submitted and outstanding.

7. Administer unit’s office supplies, files and inventory.

8. Assist Program Manager and senior adviser in other administrative management of program as needed by the Church Partnership unit.

9. Participate in all relevant program, CRS, and partner meetings.


Qualifications réquises

 College degree or equivalent in management and/ or an area related to development work (social sciences, child protection, education, community development) preferred
 At least 3 years experience working with international NGOs in development programs.
 Past experience working with the Church and church organizations.
 Detail-oriented, with a strong capacity in planning, coordination, and communication.
 Excellent oral and writing capacity in French and Creole required. Good English oral and reading capacity preferred.
 Good communication skills with responsive service attitude in order to interact effectively with local and international partners, delegations and Church leaders.
 Good understanding of standard computer programs: Windows, Word, Excel, PowerPoint; ability to learn database entry and management.
 Willingness to travel to the field 15% of the time.
 Flexibility and capacity to work under pressure in a fast-paced environment.
 Demonstrated self-motivation, teamwork and leadership skills.
 Ability to work in partnership and actively collaborate with colleagues across the organization.
 Demonstrated awareness of and commitment to the organization’s principles
