Introduction

Caritas Czech Republic (CCR) is the Czech largest non-governmental organization operating in the area of health, education and social care. Since 1999, CCR has been engaged in foreign humanitarian and development aid; it also has become a member of Caritas Internationalis network. Caritas Internationalis is an organization which is recognized and acknowledged not only within the framework of the United Nations but also of the European Commission.


Fonctions

The Office Assistant (OA) will work under the direct supervision of the Head of Mission (HoM) and will be responsible for day-to-day general administrative, translating and secretarial tasks.

The scope of work of the Office Assistant will include:

• Answering and transferring phone calls
• Meet and Greet office visitors to CCR office
• Drafting and archiving office correspondence and documents, maintaining records and files
• General oral and written translations (meetings, minutes, documents etc.)
• Maintain records of all CCR staff activities (attendance records, timesheets, leave requests, lunch management with cook etc.) for approval by the HoM
• Scheduling & organizing meetings, taking minutes, time schedule for staff or visitors etc.
• Organizing office stationery, office supplies and consumables; timely ordering of same
• Managing petty cash vouchers and preparing direct payment request
• Assistance in photocopying of documents, binding of reports etc.
• Managing use of CCR mobile phones (inventory, tracking, bills etc.)
• Coordinating office services, supervising and/or assisting in the preparation of refreshments, coffee etc. for staff and visitors
• Any other tasks as directed by Head of Mission


Qualifications réquises

• Bachelor’s degree or 1-3 years work experience preferably in a busy office environment managing multiple tasks
• Previous experience of working for an INGO desirable
• Proven organizational and planning skills
• Excellent interpersonal and communication skills – ability to coordinate
• Good computer skills (Internet, MS Office – Word & Excel)
• Ability to prioritize, meet deadlines and to collaborate and adapt to changes
• Flexible, pro-active, and enthusiastic team player with an unrelenting drive to deliver results
• Very good command of English, French and Creole
• Agreement and compliance with Caritas values, mission, security rules and procedures
• Availability for 12 months
