Introduction


Fonctions



1. To collect all the purchase invoices for the section, to prepare the claims for payment « RFD ». To record these claims for payment and to convey them with the section Checking then with Finances, to collect the accounts- cheques and to carry out the payments in general.



2. To write letters for administrative follow-ups such as letters of invitations to tenders, letters to the suppliers, etc….



3. To make the photocopies of the correspondences and files of the section and to ensure their follow-up and/or classification.



4. To carry out the classification of the files of the section.





5. To ensure the distribution of the materials and supplies.



6. Tender of monthly returns of follow-up of the payments carried out with the various suppliers.



7. To receive all the MRF, to affix a dating seal, to check there the exactitude of all the data before starting the process of purchase.



8. To ensure the follow-up of the Log book so that through this register one can recall all the purchases carried out during a fiscal year.



9. To prepare the monthly request for the office supplies and to ensure their good management.



10. To assist Purchasing Coordinator in the execution of its functions.



11. To carry out any other task considered to be necessary within the department.


Qualifications réquises

1. To hold a Bilingual diploma of secretariat;
2. To hold a diploma for the occupation of Administrative Assistant;
3. Must have at least had two years of experience minimum in a similar position;
4. Knowledge of the software Word, Excel, ( Power not, one more);
5. Able to write, speak French, English;
6. To be able to take initiatives, to have good organizational capacities and to be able to function with little supervision.
