Introduction

Position Summary
Under the direction of the Haiti Country Director, the Office Manager and Program Support will handle the administrative tasks for Water Mission, Haiti’s Cap Haitien office. The position will provide administrative support in Human Resources, Finance, scheduling, and translation. This full-time position requires residency in Cap Haitien.

Position Responsibilities
General Responsibilities:
• Maintain a strong Christian witness and model servant leadership to colleagues, partners, the communities we serve, and the public.
Office Management:
• Manage administrative requests and queries from senior management.
• Organize and schedule appointments with administration software.
• Schedule meetings and take detailed minutes.
• Draft and distribute emails, correspondence memos, letters, etc.
• Assist in the preparation of reports.
• Translate documents into Creole, French, and English.
• Interpret/translate for foreign and Haitian executives in Creole, French, and English.
• Book and arrange travel arrangements for senior executives and staff.
• Provide general support to Haitian and foreign visitors.
• Provide information by responding to questions and requests (email, telephone).
• Liaise with senior management of the international remote office.
• Develop administrative staff by providing information.
• Manage sensitive information confidentially.
• Occasional travel to the field, if necessary.
• Work with and assist the Finance Manager with accounting and finance duties, including bank transactions, Petty Cash Management, reporting, training, and supervision of the administrative assistant.
• Other duties as assigned.
Program Assistance:
• Learn and understand the programming aspects of a community-led water, sanitation, and hygiene (WASH) program.
• Provide programming support to WASH activities, as requested.
• Learn all aspects of the program’s development function at Water Mission and be able to communicate with the program’s development Team at headquarters.
• Learn about Water Mission’s project flow and how it relates to the community-Managed Water supply Model and be able to apply that learning.
• Work with and communicate effectively with colleagues with long-time experience in the community-Development Model at Water Mission.
• Ability to effectively communicate with community leaders and the population that is participating in the projects.
• Represent Water Mission in meetings, symposiums, seminars, and other gatherings, with the local state authorities of the country.

• Confirmed experience as an Executive Assistant.
• Good knowledge of Human Resources is preferred.
• Knowledge of office management systems and procedures.
• Practical knowledge of office equipment: Printer, telephone, laptop.
• Mastery of MS Office, Word, Excel, PowerPoint, Internet, Outlook, Zoom, TEAMS, and electronic calendar management.
• Excellent time management skills and the ability to prioritize work.
• Attention to detail and problem/conflict resolution skills.
• Excellent written and oral communication skills in English and French.
• Good knowledge in the sector (WASH), water, health, and hygiene.
• Experience working with DINEPA/OREPA is an asset.
• Experience in project management.
• Strong organizational skills with the ability to multi-task.
• High school diplomas.
• University degree in bilingual secretarial work and administration.
• Three (3) years of experience in a similar position.
• Fluency in written and spoken English required.
• Home internet bandwidth capable of supporting video conferencing and other job-related activities.
• Legal authorization to work in Haiti without sponsorship.
