Fonctions
The Executive and Business Management Assistant provides administrative supports to the Country Director and ensuring the efficient and effective management of the daily operational activities of the CD’s office. She also ensures that the CD’s travel and meeting are well organized.
What does the job holder plan?
• To provide administrative support to the Country Director (CD) specifically on coordinating, following up or acting on matters requested by the CD.
• To liaise with the CO/RO/NO/IH on matters related to the CD’s office.
• To handle critical communications for the office of the CD.
What are the outputs and deliverables?
1. To track and maintain a record of all critical communications and documents to and from the office of the Country Director to ensure efficient retrieval
2. To arrange travel for CD and other CMT members
3. To organize the Country Management Team Meetings and assist in organising major events in the office as needed
4. to facilitate the non-travel week and non-travel day
5. To liaise and act as a ‘point of contact’ for relevant information/enquiries from country offices, regional offices and IH on information/communication emanating from the office of the Regional Director
6. To handle other Administrative supports as required, ie. answer phone calls, assist in developing an admin. process for travel, purchasing, meeting and attends to guests as well as informal requests, etc.
7. To perform other activities as assigned
Qualifications réquises
Qualifications and Experience
• University degree
• Minium 3-5 years experiences working in Administration in INGO
• Fluent in written and spoken English and French. Spanish a plus
• Computer skills
Skills specific to the post (this may not be needed for the post)
• Strong Administration skills
• Ability to handle multi functions
• Ability to deliver services with tight deadline
• Problem solving
• Willing to work under pressure to meet deadlines
