Introduction

Under the supervision of the HR Officer and guidance of the HR Assistant in Port-au-Prince and in cooperation with relevant units, the HR/Admin Assistant will undertake and accomplish the following tasks:


Fonctions

General Functions:
1. Identifying recruitment needs in the mission by meeting managers and discussing staffing in their units.

2.Translate the recruitment needs into terms of reference or position descriptions.

3.Source candidates through the difference available communications channels. Pre-select candidates and offer advise to Program Managers.

4.Share information on candidates with UN agencies; liaise with UN agencies on recruitment.

5.Interview, select and recruit candidates.

6.Introduce new staff to Chief of Mission, all units, and key personnel.

7.Organize work station and IOM assets for the newly national and international staff members.

8.Brief new staff on IOM’s work worldwide and in IOM Haiti.

9.Brief new staff on rules and regulations and standards of conduct, hours of work, and other administrative matters.

10.Ensure appropriate staff integration in the mission.

11.Gather information on training needs for staff.

12.Organize national staff training, internal and external.

13.Prepare contracts and PA (Personnel Action) for nationals and consultants: special, consultant (all inclusive) and hourly basis, step increase, reclassification and so on.

14.Assist in the supervisors of contract renewal, contractual status on national staff, in order to ensure contracts are prepared on a timely basis, and reviewed before the deadline.

15.File all staff related documents in appropriate folders.

16.Respond to queries regarding HR data requested by her/his supervisors.

17.Prepare payment request for salary payments.

18.Follow up for UN ID issuance and renewal.

19.TA monitoring and UNHAS/WFP travel bookings.


Qualifications réquises

Education background in Secretarial, Business Administration or other related subjects. At least 3 to 5 years experience in a similar position, especially in NGO or International Organization is an asset.
Good writing, communication, organizational and computer skills.
