Introduction

Under the supervision of the Admin/Finance Officer and in coordination with the senior finance clerk is responsible for the following functions:

In particular he/she will:


Fonctions

Help in recording financial transactions for the sub-offices;

2.Ensure that accounting reports submitted by sub-offices are submitted on a timely basis and are completed according to IOM Accounting Policies and Procedures;

3.Prepare check/cash payments and disbursing funds;

4.Undertake appropriate liaison with banks;

5.Maintains files for project documents.

6.Provide accounting support to sub-offices’ finance staff as necessary for the smooth, efficient, and effective operation of the sub-offices;

7.Prepare credit memo for telephone calls and fuel usage used for personal use.

8.Responsible for record keeping and maintenance of all vouchers and supporting accounting documents. Create and maintain filing and reference system, following IOM guidelines.

9.Sort or classify documents according to guidelines in chronological, alphabetical or numerical order. Check completeness of supporting documents filed with the vouchers.

10.Track documents removed from files in order to ensure that borrowed files are returned.

11.Find and retrieve information from files in response to requests from authorized users.

12.Assist in filing IOM General Instructions, General Bulletins, Memoranda and other official documents.

13.Keep records of documents filed or in active storage, using logbooks or computer.

14.Perform general office duties such as making photocopies/scanning documents, operating office machines.

15.Assists in preparing envelopes and packages for documents/reports to be sent to Panama/Manila;

16.Perform other duties as maybe assigned.


Qualifications réquises

Completion of secondary school education and two years of relevant experience in the field of Finance.
Knowledge of basic office computer skills/management of files is favorable.
Two years working experience as messenger/office clerk.

Conditions de travail

Good knowledge of the local language and working language of French. Knowledge of English language is an asset.
