Fonctions

Primary Responsibility:

Engage in clerical or administrative support activities to CRS Haiti Shelter and WASH Programs
Specific Job Responsibilities

• Assist and provide clarification for department staff relating to administration tasks and other interdepartmental issues
• Manage and maintain an office filing system and library, both electronic and physical; ensure necessary confidentiality of documents.
• Issue memorandums and make documentation for program activities as required
• Maintain inventory records of department equipment and stores in collaboration with admin support.
• Maintain the provision of office supplies and stationery for department need
• Oversee, coordinate, or perform activities with procurement and logistic department associated with shipping, receiving, distribution, and transportation of department staff.
• Collect and review timesheets in the end of each month.
• Check and clarify each cash disbursement and liquidation document by the staff already completed before pass through next approval sequence.
• Make sure all the forms and documents are provided/supplied to support program activities.
• Record and maintain personnel department file.
• Compile and process approved purchase request forms for use with department / management report in timely basis.
• Liaise with other department internally and outside party externally relating department project information and activities; appropriate with CRS policy and procedures.
• In coordination with IT regarding;
a. hardware/software installation and net work administration
b. ensure that all IT system is working well and support department staff as needed.
c. ensure timely and effective maintenance and repair of computer hardware and software
• Maintain and update project activities / tracking.
• Ensure that all computer equipments are functioning well.
• Coordinate with the department staff and fleet department to create transportation schedule.


Qualifications réquises

• Bachelor Degree in business administration, IT, engineering, or comparable professional experience with 3 years experiences in general administration.
• Honest, mature and independent and fast learner.
• Understanding of IT and network systems is a plus
• Having experience in filing system.
• Ability to perform under pressure and tight deadlines as well as in a team.
• Proficiency in software applications including MS Excel, MS Word, MS Outlook, and PowerPoint.
• Good written and spoken English skills.
• General understanding of finance / accounting would be an advantage.
