Introduction

Under the supervision and in accordance with directives received from the Chief of Mission, and in close coordination with NFI Program Manager, the incumbent will be responsible for the coordination of activities of the NFI Program. Provided below are the key responsibilities of the Administrative Assistant.


Fonctions

1. Institute and maintain financial controls for the NFI Program per IOM regulations

2. Book keeping for all financial transactions undertaken

3. Ensuring authorization procedures for spending limits are adhered to

4. Preparing weekly and monthly financial reports

5. Screening goods suppliers for supporting documentation

6. Maintaining accurate records of all financial transactions

7. Preparing daily predictions for expenditures

8. Overseeing and advising the NFI staff regarding IOM procedures

9. Maintaining accurate records of employees annual leave and sick leave status

10. Undertaking appropriate correspondence/liaison with the Head Office to clarify matters of concern or to update changes to financial and administration procedures

11. Informing and advising national staff with regard to IOM regulations and procedures

12. Undertake additional requests as deemed appropriate by the NFI Program Manager


Qualifications réquises

Background in administration and finance
Computer knowledge in Excel, Word, Outlook
Minimum 3 years experience with similar duties


Conditions particulières

Team player, able to work under strenuous conditions and extended hours
Good team player and good coordination skills
Thorough knowledge of French and English
